Regal Senior Living runs three licensed residential care homes in Ventura County, California: Regal Care and Regal Residence in Simi Valley (Zephaniah, LLC) and The Orchard in Camarillo (Nehemiah, LLC). This policy explains what the Regal app collects, why, who it is shared with, and the choices you have. In this policy, "Regal", "we" and "us" mean Regal Senior Living and those companies.
Who uses the app
- Families and responsible parties of our residents, who sign in with their email and a one time code.
- Our caregivers and staff, who sign in with their email and a PIN.
- Our owners and office team, who sign in to the dashboard.
The app is not for the general public and is not meant for anyone under 18. Accounts are set up by Regal; you cannot create one yourself.
What we collect
- Contact details: name, email address and phone number.
- Resident information that families and staff need for care and billing: the resident's name, room, move in date, invoices and payments, signed admission papers and state forms, documents you send us, visit times, and requests to the office.
- Messages and files you send in the app, such as messages to the office, team chat, photos of papers or cards, and reports by staff.
- Signatures: when you sign a form in the app we keep the signed PDF with a record of who signed, the date and time, the IP address and device, and a fingerprint of the signed pages.
- Location, for staff only and only at clock in, clock out and night check ins: the phone's position at that moment, to confirm the person is at the house. The app does not track location at any other time and never tracks families.
- Visitor sign in: the name of each visitor, who they visited, and when they arrived and left.
- Device details for notifications: a notification token from Google or Apple, so we can send the phone notifications you turn on.
- Bank details for payments are entered directly with our payment processor, Stripe. They never pass through or stay on our own servers.
How we use it
- To coordinate care and run the homes: messages, requests, visits, documents, staff shifts, reports and trainings.
- To bill and collect monthly fees, and to send receipts.
- To keep the records California licensing requires, such as signed forms, compliance records and visitor logs.
- To send the notifications you choose to receive.
- To keep the app secure, for example sign in codes and a log of changes made on the dashboard.
We do not sell your information, we do not use it for advertising, and the app has no third party advertising or analytics trackers.
Who we share it with
Only the service providers that run the app for us, and only for that purpose:
- HighLevel, the system where our resident, family and staff records are kept.
- Amazon Web Services, which hosts the app's server.
- Stripe, which processes bank payments.
- Google (Firebase) and Apple, which deliver phone notifications.
- RingCentral, which receives faxes sent to the homes.
Where these providers handle health information, they do so under business associate agreements as required by HIPAA. We may also share information when the law requires it, for example with California Community Care Licensing, or to protect a resident's health and safety.
Team chat can show videos and posts from Instagram, Facebook, YouTube or TikTok when someone shares a link. Those services load their content directly and have their own privacy policies.
How long we keep it
We keep resident and staff records for as long as California licensing and other laws require, and other information only as long as we need it to provide the app. When an account is closed, the login is removed.
Your choices
- Notifications can be turned off any time in the app or in your phone's settings.
- Location permission can be turned off in your phone's settings; staff then clock in from the house tablet instead.
- See, correct or delete your information: contact us below. To delete your account, email or call us and we will remove your login and the personal information we are not required by law to keep, and confirm when it is done.
Delete your account
To delete your Regal app account, email info@regalcare.org with the subject "Delete my Regal app account" from the email you sign in with, or call (805) 600-2711. We confirm it is you, then within 30 days:
- We delete: your app login, your phone notification settings, and personal information we are not required to keep.
- We keep: records California licensing and other laws require us to keep, such as signed admission papers, billing records and staff time records, for as long as the law requires. They are no longer reachable from the app.
Security
All connections to the app are encrypted. Each person only sees what their role needs: families see only their own resident, and only owners see payment details. Signed papers carry a fingerprint that shows if they are ever changed.
Changes
If we change this policy we will update the date at the top of this page, and tell app users about important changes.
